Late Show monthly business meeting notes

July 2025 monthly biz meeting notes

Pablo opens the meeting and reads the unity declaration and the rules for the meeting.

We are a month into our new trusted servants. We will do trusted servants check-ins.

Start with GSR report:

Pablo: We do not have a GSR for this month. John M2 is not here and Pablo is going to step out of the alternate GSR position.

Treasurer report. 551.45 in the bank. All the bills are paid. Waiting for the literature buyer, we are going to do a big pay out. We are slightly over the prudent reserve but that is ok, everything is good, bills are paid.

Literature: Jordan: This is the first month we didn’t have anyone get a book. So there is no invoice.

Fellowship coordinator: Cora: Nothing to report. There will be more when I have more sleep and art is on the walls.

Secretarires:

Monday: Lovejoy has checked in with everythings good.

Tuesday: We need a secretary for tuesday.

Wednesday: Nothing to report.

Thursday: Cora: Everything is going great.

Friday: Austin: Everything is going amazing.

Saturday: Galen: Everything has been good. A couple glitches but everything’s great.

Sunday: Azrael: BGD: Sunday has been going really well. I have been helping Azrael book speakers. We need a literature person though.

We need a literature person for sundays.

Pedro checks in for wednesdays, everything is going good.

Next is Birthday chip person, Katie T: Everything is good, i did order quite a few chips and i will forward steven the receipts tonight.

Safety Chair: Steven: Thanks for not being dicks to each other this month. Friendly reminder, i’m not the complaint department. If you don’t like the way the meeting is run, the place is the Business Meeting, and Pablo.

Okay, moving into service position elections.

We need to fill tuesday night secretary and sunday night literature.

Pablo reads the description of secretary, cohost and literature rep.

The group has been adopting a team approach, don’t be intimidated by finding speakers, maybe you can enlist.

Brian volunteers to be secretary Tuesday nights.

Francis nominates Brian. Seconded and Thirded.

Brian is now secretary on Tuesday nights!

Brian: Thank you

Next Sunday night literature rep:

Momma G throws her hat in to the ring.

Katie T Nominates Lily.

Momma G Recuses herself from the vote.

Lily: I have 2 years 8 months and i miss the late show zoom, i would like to come back and be part of. Literature would be great. I want to get back into service.

BGD point of information recuse means removing oneself from the ballot.

Pablo: Lily you are now the literature rep for Sunday nights.

Pablo: Raise your hand if you are in need of a service commitment. Going once going twice.

Pablo: Time out, am i allowed to make a housekeeping motion.

Steven: Housekeeping motion: We should update the zoom passwords for secretaries and hosts from time to time.

Pablo: All those opposed?
NO opposed.
The motion passes.

Pablo: We go now to Old Business.
Last meeting we talked about group inventory, whether to push that out to a later date.
Also, on old business: The order for hand raising/sharing, literature reps posting information twice, and announcing in script about how the fellowship is take what you want leave the rest.

The item on the table is date for group inventory, whether to push it forward.

Steven: Make Dave find somebody.

David: Maybe we should choose a date a little after labor day. We have the questions, we have to find someone to take the group inventory. Give people time to come back. So we can plan a proper group inventory a couple weeks after labor day. SO we can find someone who can not be a complete asshole.

Cora: Point of clarification: I was wondering, what is a group inventory?

Pablo: There is a link in the chat. Pablo reads the definition of a group inventory:

https://www.aa.org/sites/default/files/literature/P-16_0624.pdf
Page 29 Group Inventory

Madison: Point of information: How often does group inventory happen? Is it a full business meeting where we go through it question by question. Can we have the page 29 added to the lateshowonline.com.  how long in between inventories?

Pablo: It is a seperate date, and is it moderated by separate person, a third party, to avoid bias.

Steven: This group has no set dates in-between inventories.
Steven: I move to nominate Dave to form a group to handle the group inventory.
David: I am happy to do what Steven said and take up the mantle.
Also, some groups don’t do group inventories at all, some don’t do them in one sitting, some groups do them in multiple sittings, some groups do 44 questions at once. Last time we did as one sitting, with one additional group to over it. I ask for help, for anyone interested.

Natalie: Im excited about this, i’ve heard a lot of conversations about this, i’m curious when did it last happen? When it happens, can we have a poll to save the date to make sure it happens?

Pablo: The last time it happened was 2021-2022. I remember putting on a small sample google poll of some of the inventory questions, and they said everything’s is great.

Steven. Motion to create an ad hoc committee, run by dave, to organize and coordinate our group inventory.

David seconds the motion.

All those In Favor:
13 Yes
All those opposed:
NONE
Abstaining:
NONE

MOTION PASSES

congratulations BGD thank you for your service.

David: Want to join us Natalie?
Natalie: Yes.

Next:
Steven: We should add a line to the script that says that the parking lot is take what you want and leave the rest. And unmoderated.

Natalie: I agree with the general idea, but is the parking lot truly Unmoderated? There is a host, no? If someone throws up nazi flags, aren’t they going to be kicked out?

BGD: On the one hand, it seems like overkill to announce this, but then again, we follow the Zoom terms of service in the parking lot. Theoretically, the zoom moderator could kick people out, but we do not arm that person with that ability. IF we are going to say anything, it should be not that “Its the wild west.” It’s not the wild west, we should say something like “Don’t be a jerk”

Steven: The point of what i wanted to put is that, we have a safety chair, and moderator, in the regular meeting. But in the parking lot, it IS the wild west. It’s like the parking lot outside of a  meeting, those areas are not moderated. I don’t believe in policing peoples behavior period. But the point is to let people know that the parking lot is not going to be moderated.

Cora: I’m trying to think of it, after the meeting, what would do in person, like steven said, it would be like the Wild West, i understand why people have issues with the word moderator, i like the last wording that steven used “Please don’t have any expectations of the parking lot” It keeps it more casual and less structured, as the parking lot is unstructured.

Momma G: Our job in life is to help the newcomer, you wouldn’t behave this way in public, but it gets unsafe, as grown ups we have a choice in life.

Francis: I second what others have said, it is to protect the newcomer i believe the statement should be made however worded.

Natalie posts in the chat:
What about something like – “While the host will do their best to ensure an atmosphere of courtesy and respect in the parking lot, it is not a continuation of the meeting and will not be moderated by the safety chair” – to be read after the meeting closes.

David: I like what Natalie posted.

Steven: Motion to table till next month, and people bring samples of what to say and we vote on what we like.

Motion Is voted on, and Passes.

Pablo: Next old business is Order of Shares.

Madison: Some meetings hands are being called out of order. It brings resentment and a sense of favoritism. It can cause members to feel unseen  or unvalued. It can be cliquish. We should be more consistent and fair, and serve the group as a whole.

Steven: Thanks. I think it should be discussed as a group. Traditionally, it has been secretaries choice. But on zoom, it seems to be a natural order of things. I don’t think it’s necessar4ily a bad idea to just go in order of hands raised. I like how we’ve been changing the time. But we should standardize the order.

Natalie: We should all be on the same page. I think it should be in order of hands being raised.

Cora: We should just do it however the fuck. I don’t think anyone should take shit personal. If people take it personal or cliquey.

David: I’m as guilty of this as the next person, there are two or three of us who raise our hands before anyone else. Sometimes, the secretary should have the choice to include.

Neil: It was the tradition of this meeting that the speaker chooses who speaks. I would like it to go back to that. I like that the secretary can choose newcomers first, or change the order.

Steven: New business: I think we should revisit the option of letting people rename themselves.

Natalie: Can we make enough time to discuss the raising of hands issue at the next meeting.

Steven: Point of clarification: The thing we tabled at this meeting should be the first thing discussed at the next meeting.

Madison: Should we discuss the literature issue that Galen asked about?

Pablo: We will discuss at the next meeting.

Steven: I’m chairing the Friday night young peoples meeting in Danville August 1 6:30

Natalie: I’m charing LnL on 7-7.

Steven: Motion to close.
Seconded.

Meeting is closed, responsibility statement read.

Steven: What does that person do?

Pablo: Position Description: Makes announcements about the bookstore, connects newcomers to the literature buyer for free literature.

Jon: Do we really need a person for every night to do that job?

Steven: It says in the script “east bay” can get a book…We decided a long time ago that anyone can get a book. I want to delete that shit.

Seconded by BGD and Others.

Motion passes.

Pepe: I like Chaos.

Pablo: On old business: There’s a lot of questions about fellowship night. We just hired a new person, so maybe this is irrelevant. Pastes into the chat:

Fellowship Night

can we have a dedicated night? should we expand guidelines?

secretaries should help?

fellowship coordinator monthly rotation / collaboration?

floor is open:

Evan: I was the person who talked about a monthly rotation. Allows people to not get burnt out on it, makes it more of a group project. Point of clarification. Is the budget per month? Yes it is per month. Fellowship coordinator should be encouraged to reach out.

Pepe: I agree. More people should be involved in fellowship night.

Francis: I think it should be in the script, and that it should be on the same night every month. How else are people going to know about it.

Cora: Yes i think there should be a dedicated night. Rather than secretaries helping, there should be something in the script about contacting the fellowship coordinator with ideas.

Evan: Motion to include date of fellowship night in the script.

Cora: And to include to contact the fellowship coordinator.

Pablo: Writes the motion in the chat:

Motion: to include date of fellowship night in the script

Also include to contact fellowship coordinator for ideas

Vote: Motion passes with 10 yay 0 nay 1 abstentia.

Pablo: Next up on old business: Group inventory for spring:

John: I have a whole format for it.

BGD: We have two to three weeks till the end of spring. I’m kind of thinking we’re not ready between now and two weeks for now. Motion: Can we decide to not have one till the end of summer.

Steven Motion to table group inventory till a later date.

BGD second.

Pablo: Don’t quote me on this, but John M2 i think you can just announce we are going to do the group inventory on a certain date, but…

John M2: I might do that.

Steven: Motion to postpone group inventory till later.

Further discussion of the motion, until it is 11:55 and…

Pablo: We must now table all motions.

Any items to pout on “new business”?

Steven: I would like to add a line to the script to clarify the following:

Fellowship after the meeting is unmoderated: take what you want and leave the rest.

Pablo: Noted for new business.

Madison: I would like to b ring up a group conscious on order of hands for shares.

Pablo: Noted for new business.

Galen: I think it would be helpful to post the literature information twice, once at the beginning one at the end.

Pablo: Got it for new business.

Pablo: Any announcements?

Last thing: Anyone speaking at a meeting soon?

Evan: Next wednesday i am speaking in persona at the late show in-person.
